Improving Alumni Service Standards, UPT ICT Designs and Prepares an Online Diploma Legalization System

Ganesha University of Education (Undiksha) continues to make efforts to improve the quality of public services, one of which is in ratifying diplomas. In the UPT ICT Video Conference room, on Tuesday (22/10) socialization of the Online Certificate Legalization System was conducted by inviting Deputy Dean 1, Deputy Director 1 Postgraduate, IT Operators, UPT ICT and UPT Undiksha Integrated Services employees. The activity was opened directly by Vice Chancellor 1 Undiksha, Dr. Gede Rasben Dantes, S.T., M.T.I. accompanied by the Head of UPT ICT I Ketut Resika Arthana, S.T., M.Kom.

In his speech, Deputy Chancellor I Undiksha explained “We will implement this system starting November 1, in the future legalization services will no longer be accepted manually, namely alumni coming directly to the Integrated Services UPT. But they all have to do it online, from the document submission process, document validation by the operator, and making payments, and the validation process will be done through the system. “In the final stage, we will also offer delivery via Pos Indonesia, in addition to direct collection to Undiksha Singaraja.”

With this implementation, it is hoped that service to alumni will become more efficient. Regarding payment, for information, it will be made via banking with the briva code like Single Tuition Fee (UKT) payments. This will also be able to create better financial transparency.

Quoted from undiksha.ac.id, the implementation of this online system is also to anticipate long queues for certificate validation to fulfill the registration documents for the selection of Candidates for Civil Servants (CPNS) which roll out every year, both for regional governments and other agencies. “Because in the near future, there will be quite a lot of CPNS recruitment. “Therefore, for alumni, starting November 1, we will no longer provide manual validation of diplomas or transcripts or other related matters,” he said.

Regarding technical matters, the faculty is given a minimum standard for validation which must be completed within 2 x 24 hours. After that, the documents must be returned to the Integrated Services Unit. “I saw that there were faculties who had to sign once. To speed things up, perhaps as a solution, you can scan the signature and its legality using a wet stamp. But this must be approved at a leadership meeting. “This process will increase service efficiency,” added Rasben Dantes.

The socialization activities lasted until noon, complemented by several system introduction agendas by the Undiksha UPT ICT team. All invitees received delivery of system mechanism flow, information system operational training, as well as discussions related to various problems that would be discovered.
