In an effort to realize effective and efficient services in the Undiksha environment, the Undiksha Information and Communication Technology Technical Implementation Unit (UPT ICT) carried out Focus Group Discussion (FGD) activities with discussionsOptimizing the Utilization of E-Office and TTE which took place at the Bali Taman Hotel, Buleleng, Wednesday (23/11/2022).
Representing the Chancellor of Undiksha, the FGD was opened by the Head of the General and Financial Bureau of Undiksha, Ni Luh Wayan Yasmiati, S.H., M.Pd. He said that the demands of information technology were a necessity for Undiksha to innovate services, including in the administrative sector. He also said that his subordinates should be the assigned staff, including secretaries, administrative management staff, and IT staff within Undiksha, who must master information technology. He emphasized that if staff do not understand IT, they will be left behind and become a threat if they do not master information technology. This FGD activity was attended by secretaries, correspondence management staff, and IT operator staff within Undiksha.
On this occasion, the Head of Undiksha’s Information and Communication Technology (ICT) UPT, I Ketut Resika Artana, S.T., M.Kom., explained that Undiksha’s e-Office and TTE were initiated in 2019. As a new system, its implementation still needs to be optimized. “So with e-Office for document distribution, correspondence will be more effective and efficient, faster because it can be distributed digitally,” he explained.
Meanwhile, for the use of TTE, electronic documents distributed will have higher security, the level of authenticity or originality can be accounted for, documents cannot be changed when distributed, and there will be no objections. “So when we receive the document the sender will never deny having sent the document. “Because all of this has been certified electronically and has been verified by the Electronic Certification Center of the State Cyber ??Agency,” he said.
He hopes that through this FGD, staff understanding regarding the implementation of e-Office and TTE can be more optimal and have an impact on Undiksha’s services being better and of higher quality.
This FGD activity also featured the Head of Operations and Encryption SecurityDiskominfo Buleleng, Komang Ery Marta Pariata, ST with a case study of implementing TTE in the Buleleng Regency Government. Komang Ery Marta said that the Buleleng district government has implemented electronic signatures which are very helpful in correspondence activities. The existence of TTE in government is motivated by overcoming document forgery, reducing paper use, and avoiding damage to documents over a long period of time. From this background, Diskominfo implemented TTE using the E-Letter system which is now operational in handling correspondence in the Buleleng government.
The presence of resource persons from Diskominfo is a manifestation of the importance of using Electronic Signatures in agencies, from government to education.
Apart from presenting resource persons from the Sandi Buleleng Communication and Information Service, UPT ICT Undiksha also presented material on the technical implementation of e-Office, TTE, and website operations.
